Position Purpose:

The Onboarding Coordinator supports the company’s onboarding infrastructure by assisting Human Resources Directors with onboarding-related tasks in the company’s learning and performance management system to ensure efficiency, success, and compliance with mandatory items for all new hires (clinical and non-clinical). For new hospitals, the Onboarding Coordinator partners with the hospital’s Human Resources Director to arrange dynamic learning assignments based on employee type, performance tasks (such as competency checklists and check-ins), and reporting. For existing hospitals, the Onboarding Coordinator audits dynamic learning assignments, performance tasks, and reporting for accuracy to ensure that the hospital remains in compliance with company standards. The Onboarding Coordinator is dedicated to high-quality customer service, sending information (most frequently in the form of reports) to company and hospital stakeholders, in addition to supporting learning and performance system functioning by responding to customer inquiries in the company’s internal ticketing system.

Responsibilities & Tasks:

  • Is responsible for learning and performance management system reporting for new hospitals and existing hospitals without Human Resources Directors.
  • Using Microsoft Excel, compiles multiple system reports into one easy-to-read report and sends to company stakeholders (Regional Vice Presidents of Human Resources and other Human Resources Directors).
  • Tracks and exports employee job description attestations to ensure compliance with company and Joint Commission standards.
  • Tracks and exports learning transcript reports to ensure timely completion of mandatory and required training by company and Joint Commission standards.
  • Tracks and exports performance reports for observation checklists to ensure compliance with company and Joint Commission standards.
  • Responds to basic learning and performance system troubleshooting inquiries via the company’s internal ticketing system.
  • Disseminates historical employee transcript data upon request of hospital administrators for Joint Commission surveys and/or internal audits.
  • Exhibits excellent customer service, which includes but is not limited to the following:
  • Responding to internal customer Tier 1 correspondence, related to TalentWorks, within 48 hours or 2 business days.
  • Identifying hospitals that need additional system assistance based on frequency of incoming inquiries and feedback from internal stakeholders, then providing the additional assistance or partnering with teammates to provide assistance.
  • For hospital leadership positions, ensures the assignment of a Preceptor.
  • Tracks and reports on progress of manager check-ins and onboarding checklists.
  • Ensures the launching of 90-day performance evaluations and reports progress to Human Resources Directors.
  • Creates hospital-specific system groups for ease of assigning and launching learning and performance tasks.

License or Certification:

  • Microsoft Office Suite certification preferred
  • Cornerstone on Demand certification in learning and/or performance modules preferred

Minimum Qualifications:

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Experience with Cornerstone On Demand Learning and Performance modules preferred
  • Experience in learning management system administration preferred

Machines, Equipment Used:

  • General office equipment such as computer/laptop, telephone, copy/fax machine, calculator, scanner, etc.
  • Microsoft Office software, to include Outlook, Word, and Excel.

Physical Requirements:

  • Visual acuity, speech recognition, speech clarity.
  • Ability to lift, lower, push, pull, and retrieve objects weighing a minimum of 15 pounds. Reasonable assistance may be requested when lifting, pushing, and/or pulling exceeds these minimum requirements.

Skills and Abilities:
