Administrative Assistant

Job Description

The  Plant Operations Administrative Assistant supports the Director of Operations. 

 Assists Business Office with scanning, deposits, or other actions as directed for SOX compliance.

  • Prepares formal and informal written communications for both internal and external business needs.
  •  Attends meetings and transcribes minutes.
  • Handles information in a confidential and diplomatic manner.
  • Manages contract approval and renewal process, updating contract manual as needed.
  • Acts as liaison or contact for hospital with various outside organizations.
  • Coordinates meetings and other events the hospital is hosting.
  • Participates in committees or teams as requested by supervisor.
  • Organizes, plans, and manages time effectively to complete assignments.
  • Meets position requirements and performs essential functions.
  • Completes mandatory training and courses required by completion date.
  • Reports questionable situations, concerns, complaints, or harassment immediately
  • Ensure all policy and procedures are up to date
  • Calls to schedule inspections
  • Assist in the inspection process
  • Assist with assets, procedures, and work orders
  • Complete monthly CMS reporting
  • Prepare EOC/Safety Committee agenda and take minutes
  • Maintain Hospital "Key Control" records
 
 
 

 

-TJC and Hospital experience preferred
-High school diploma or equivalent preferred.
- Must be knowledgeable of Microsoft Office products.
- General office equipment such as telephone, copy machine, fax machine, calculator, computer.
- Type with speed and accuracy.
- 10-key preferred
- Ability to speak, read, write, and communicate effectively with all levels of personnel and with people in the community.
- Ability to coordinate, analyze, observe, make decisions, and meet deadlines in a detail-oriented manner.
- Ability to work independently without supervision.
 

Environmental Conditions: - Indoor, temperature controlled, smoke-free environment.  Occasional outdoor exposure.
- Exposure or potential exposure to blood and body fluids may be required.
- Handicapped accessible.
